Dear Parish Colleagues
Coronation
We know that some of you will be planning events to mark the Coronation or signposting residents that wish to organise celebrations.
We have prepared a Coronation Toolkit which we hope will be helpful. The Toolkit can also be found on our Working with Parish Councils webpage. It includes details of forthcoming deadlines which are also set out below:
Events Team
If you are planning a larger community event, the Events Team would like to know of your plans by the end of February if possible. They can then give you further advice and guidance in time for you to apply for any associated permissions, road closures, licences etc if required. You can contact them by email with an outline of your plans or with any questions.
If your event is deemed large enough to need an application via the Council’s EventApp, full documentation, including risk assessments and event management plans need to be returned 8 weeks in advance at the latest – 6 March 2023 for events taking place over the Coronation weekend. Licensing Premises Licence applications need to be submitted 12 weeks before, so mid February 2023, or earlier if possible, in case any objections are received. Temporary Event Notices (TENS) can usually be obtained ten working days before an event but given the volume of applications expected, it would be helpful for both the Council and the Police if you could get applications in as soon as possible. Road Closures For any road closures, including Street Parties, the deadline to apply is 10 March 2023. For the Coronation, the Council is not going to charge an administration fee for road closures unless the activity is deemed to be commercial. Please note that the Council will not give permission for A or B roads to be closed for a street party.
Parish Liaison
The next Parish Liaison meeting takes place on 15 March from 6.30pm in the Chandos Room of the Somerdale Pavilion, Cross Street, Keynsham, BS31 2FW. Some of you have asked about parking here – this is free BUT each vehicle attending the meeting must check in on arrival on the i-pad screen in reception. Otherwise you can choose to make the parking payment at the meter. Any vehicle not paid or checked in will receive a penalty notice. Please do car share if possible and, as with other in-person Parish Liaison meetings, attendance is limited to two representatives from each Parish.
We are in the process of finalising the Agenda but WECA have been invited to speak about public transport. They have also been invited to each of the Connecting Communities Forums in February and March where they will be able to speak in more detail about the local picture in each Forum area. Dates of the forthcoming Forums can be found here. If you have any questions for WECA either for Parish Liaison or the Forums, it would be helpful if you could send these in advance. It does not mean that you can’t ask questions at the meetings but will help WECA shape their presentations.
We look forward to seeing you at future meetings.
Kind regards
Alison
